To get started with the invoice process, the PDF files firstly must be scanned in. These files can be uploaded either automatically from specified email addresses or from a network directory for scanned receipts.
Basically, any type of document can be processed in PDF and known XML formats. It is pre-configured for invoices and credit notes as well as for sales orders, so you can get started straight away.
All important information on documents is then automatically transferred to the appropriate fields in Business Central, allowing incoming documents to be captured quickly and efficiently. You decide whether you want the document capture service to run locally or in the cloud (provided by Continia).
Continia Document Capture simplifies invoice processing and management with extensive features such as automatic vendor recognition, document preview, incoming messages and much more. With three-way matching, invoices can be automatically matched against existing purchase orders or receipts, and then approved and entered if the amounts are within set limits. Subsequently, an approval of invoices usually takes place. This can be done in Business Central, in Continia's web portal or in the DMS system M-Files, which is offered by TSO-DATA as support. When the factual and professional check is complete, the invoice can be posted in BC.
You have several options for archiving invoices and supporting documents. You can archive the documents on the network drive (file server), BLOB storage from Business Central or in M-Files, the audit-proof DMS system recommended by TSO-DATA. You can find out more about DMS integration below. No matter which archiving you choose, you can easily access the documents via Business Central at your transactions (e.g. posted incoming invoice) or find them via the full text search.
The basic steps for processing XML-based invoices such as XRECHNUNGEN, which have been mandatory for public administrations in Germany since 27.11.2020, are identical (see VeR). Only with XML import, XML files are processed and archived instead of PDF files. Compared to PDF files, XRECHNUNG and other XML formats offer unsurpassed accuracy and detail of all data.
Document Capture also offers you the ideal solution. The additional module XML Import interprets incoming XML documents and capture this data in Business Central. Based on the incoming data, the module automatically recognises the invoice type using the supported formats.
XML import is available for all Microsoft Dynamics NAV and Business Central versions supported by Document Capture.
You may still have a slightly older version of NAV in use and you would like employees to be able to approve receipts from any location and at any time?
Thanks to the Continia Web Approval Portal, all employees without direct access to Dynamics (all supported BC or NAV versions) have access. They only need internet access. Approval is possible from a PC, tablet or smartphone.
