Microsoft’s analysis shows that employees face an average of 117 emails and 153 Teams messages per day. Focus is interrupted every two minutes, and meetings increasingly block the most productive phases of the day. Particularly problematic: 57% of meetings occur without an invitation, many with over 65 participants. That’s far from efficient.

    Employees should learn to steer AI effectively. Those who know how to prompt Copilot efficiently can complete tasks faster, make better decisions, and strategically evolve their roles.

 

A Look at the Numbers: What the Data Shows

The insights from the Work Trend Index are based on extensive Microsoft 365 telemetry – anonymized and aggregated. Key figures include:

  • 275 interruptions per day: Employees are disrupted every two minutes by emails, chats, or meetings.
  • +122% PowerPoint activity in the last 10 minutes before meetings – a sign of time pressure and last-minute preparation.
  • 60% of meetings are ad hoc: often unplanned and inefficient.
  • 15% more chats outside working hours: an average of 58 messages per user before or after 9–5.
  • +16% meetings after 8 p.m.: 30% of all meetings now span multiple time zones.

These figures make it clear: The pressure is increasing – and so is the need for intelligent solutions.
