Release Notes April 2026: New Improvements for M‑Files Online

M‑Files continues to evolve to provide organizations with a powerful and user‑friendly platform for managing information. The april 2026 release introduces several enhancements across Desktop, Web, and Server that deliver tangible benefits for both end users and administrators.

Updated icon for .xlsm files
The icon used for Excel macro-enabled files (.xlsm) has been refreshed to improve visual consistency and file recognition across the user interface.

Improved search performance in cloud vaults
Search operations have been optimized, resulting in noticeably faster response times—especially in large cloud-based vaults with high data volumes.

Search highlights in the metadata card
Search keywords are now highlighted directly in the metadata card, making it easier to quickly identify matching values, similar to the classic desktop experience.

Vault API Message Helpers now available as an NPM package
To make building UI Extensions with UIX v2 even more efficient, M‑Files has released the Vault API Message Helpers as a public NPM package. The toolkit simplifies working with gRPC message structures, reduces boilerplate code, and helps developers build features faster and more reliably.

Timestamp properties are now editable
Users with sufficient permissions can now edit timestamp properties directly. Changes to other fields no longer affect timestamps, and editing works correctly across different time zones.

File’s original last modified date is preserved
When adding or replacing documents via drag & drop in M‑Files Desktop or Web, the file’s original last modified date is retained. This makes it easier to track when a document was last edited prior to being added to M‑Files.

Improved tooltips on the metadata card
Tooltips now display only the property name when no custom content is defined. If custom content exists, the tooltip shows only that content—creating a cleaner and more informative interface.

Improved date picker usability
The date picker closes automatically once a date is selected, opens when the field is focused, and offers improved keyboard navigation and accessibility.

Improved Microsoft 365 storage and coauthoring options
Administrators can now manage Microsoft 365 storage and coauthoring independently. When a Microsoft 365 tenant is present, coauthoring is enabled by default after upgrading.

Aino Metadata Agent at Scale version 26.3 automatically installed
The Aino Metadata Agent at Scale vault application is now automatically installed (disabled by default). It analyzes document content to suggest and apply metadata to large object batches. Version 26.3 improves stability and performance, especially in large vaults.

Admins can filter to show or hide deleted objects
Admin users can now choose whether deleted objects are shown or hidden in views and advanced search filters. This option is available only to users with the appropriate permissions.

Sharing Center now available for all users
Users with read-only access can now share objects externally. Administrators retain full control through new Advanced Vault Settings, enabling or disabling external sharing at the vault level and restricting visitor visibility to specific user groups.

In‑Product Guidance
The April 2026 update introduces In‑Product Guidance, a built-in contextual help system that provides step-by-step tips, walkthroughs, and prompts directly within the user interface. It helps users complete tasks with confidence, supports faster onboarding, and reduces the need for separate training materials. The feature is enabled by default and centrally configurable.

Improved view creation experience
Creating and editing views is now more intuitive. The Edit view option is easier to find, grouping options are more visible, and users no longer need to add filters as the first step when creating a new view.

Control Web Companion availability
Administrators can now fully enable or disable Web Companion at the vault level. Additional settings allow admins to hide download or update options in M‑Files Web—ideal for centrally managed deployments.

Clearer messages for e‑signature errors
WebSocket stability has been improved in the Web Client. When electronic signing fails due to a connection issue, users now receive a clearer, more informative message explaining what happened and how to proceed.

Facet value lists and facets now appear in the correct order
Facet value lists and facets in search results are now displayed in the configured order, making it easier for users to find relevant values quickly.

Enhanced replaceFile() and addObjectFile() interfaces in UIX v2
UIX v2 now supports skipping duplicate checks when using replaceFile() and addObjectFile(), offering greater flexibility for file handling in UI extensions.

View Active Directory group sync status in M‑Files Admin
Administrators can now view synchronization status and the last sync time for each AD user group directly in M‑Files Admin, with additional troubleshooting details available in Windows Event Viewer.

Workspaces now appear in the Recent tab
Workspaces containing at least one tab are now added to the Recent list, making it faster to return to active workspaces.

Improved authentication reliability in the REST API
Authentication using X‑SessionId headers has been improved, ensuring more secure and consistent validation of authorized users.

Extended UIX documentation
The UIX documentation now includes exception options for each API, clearer information for built-in views, and improved reference material for developers.

Direct workspace links
Users can now easily copy and share direct links to workspaces, improving accessibility and collaboration.
